THINK Hauora is seeking two passionate and dedicated Patient Services Coordinator’s to join our clinical team. There are two positions available – one full-time role (40 hours per week) and one part -time role (20 – 25 hours per week). When applying, please indicate your preferred hours in your cover letter.
About Horowhenua Community Practice (HCP):
Horowhenua Community Practice (HCP) is owned and operated by THINK Hauora and is one of the largest general practices currently operating within the Horowhenua District. HCP has just moved to a purpose-built clinic which includes some allied health services.
The team consists of the Practice Manager, General Practitioners, Registered Nurses, Primary Care Practice Assistant and Patient Service Coordinators all striving to address health and wellbeing to the Horowhenua community.
About the role:
The Patient Services Coordinator is a key part of HCP, ensuring a positive experience for patients and their whānau while supporting the delivery of quality care. Acting as the first point of contact, they manage reception, respond to patient queries with sensitivity and confidentiality, and liaise with staff to support smooth operations. This role plays a pivotal part in enabling HCP to provide effective, patient-centred care.
As the Patient Services Coordinator, you will:
- Welcome and assist all patients and visitors promptly, courteously, and professionally.
- Manage patient appointments, registration, and updates in the Practice Management System accurately.
- Oversee staff scheduling, templates, rostering, and workflow in consultation with the Clinical Nurse Lead, Admin Team Lead, and Practice Manager.
- Answer calls, respond to queries, and handle messages with patience, sensitivity, and confidentiality.
- Process payments, reconcile accounts, and assist with invoicing and financial queries.
- Maintain reception, waiting areas, and office resources to a high standard.
- Support patient correspondence, dispute resolution, and transfers in line with practice guidelines.
- Participate in team meetings, professional development, and other tasks to ensure smooth and effective practice operations.
About You:

- Experience in a healthcare, patient services, or busy customer-facing environment.
- Excellent communication skills, both in person and over the phone.
- Ability to work independently, be resourceful, and adapt to the needs of patients and the team.
- A professional, polite, and helpful manner, showing patience, sensitivity, and confidentiality at all times.
